The Calendar Addon integrates with Google Calendar to track billable activities directly from your calendar events.
What It Does
The Calendar Addon allows you to:
- Create billable activities from calendar events
- Track time spent on client work
- Associate activities with clients and projects
- Select activity types and mark billable status
- View existing activities linked to events
How to Use It
1. Open a Calendar Event
Click on any calendar event in Google Calendar. The addon panel opens on the right side showing the event details.
2. Create an Activity
Click "Create activity item" to open the activity form:

| Activity Type | Select from your organization's activity types |
| Billable | Yes/No toggle for billing status |
| Client | Auto-suggested from event title, or search |
| Project | Dropdown of the client's projects |
| Description | Activity notes (pre-filled from event description) |
| Designer | Who performed the work |
| Time | Start/end time from the calendar event |
3. Save
Click Save and the activity is recorded. The addon:
- Saves to the main database
- Creates/updates the shared Activity Tracker calendar event
- Links the activity to your calendar event
Key Features
Client Auto-Detection
The addon automatically suggests clients based on:
- Event title (pattern matching)
- Event location
- Manual search with suggestions
Project Assignment
When you select a client:
- The addon shows matching projects
- Auto-selects "General" project as default
- Fetches project-specific hourly rates
Edit Existing Activities
If an activity already exists for an event, the addon shows an overview with an "Edit Activity" button that opens the web app for full editing.

Troubleshooting
| Issue | Solution |
|---|---|
| "No projects found" | Create projects in the web app first |
| "No activity types" | Ask admin to add activity types in Settings |
| "Designer not found" | Check you're a member of the organization |
| Activity not saving | Refresh the calendar and try again |
